Human Resource Intern

The HR Intern provides quality HR compliance and administrative support on a part-time basis to the President, clients and teammates. This support is based from The HR Team office. Interns are responsible for maintaining satisfied clients by delivering assistance and administrative support on various projects.  This is an unpaid position with real responsibilities for someone interested in learning more or transitioning into the human resource field. 

Responsibilities

  • Maintain Applicant Tracking system and job board postings
  • Manage candidate interview scheduling process
  • Manage background check process
  • Identify and research recruiting sources and job boards
  • Extract resumes which adhere to stated search criteria
  • Create and maintain personnel files
  • Create and maintain lead database through research
  • Prepare New Hire Orientation materials
  • General administrative support including data entry, filing, faxing, photocopying, scheduling meetings and handling correspondence
  • Additional projects may be assigned

HR AdministrationResponsible for reception and telephone duties, including signing for front office Packages.

  • Check voicemail and deliver any messages
  • Sort and deliver faxes
  • Responsible for sorting and distributing of daily mail
  • Prepare deposits
  • Create new hire personnel files
  • Filing
  • Create and maintain job description book and online files
  • Track progress, deadlines, and priorities of all projects
  • Prepare Word, Excel and PowerPoint documents
  • Proofread HR documents including audits, marketing information, and handbooks.
  • Ordering of office supplies
  • Prepare all packages to be mailed
  • Refill paper in printer, copier, and fax. Refill any supplies
  • Copy and mail out invoices on the 16th and end of the month
  • Clean up around the office
  • May be responsible for making meeting and travel arrangements

Manage Pre-Employment Processes

  • Track cost and effectiveness of media outlets for job postings
  • Post new positions on various websites
  • Sort incoming resumes and logs them into appropriate tracking spreadsheets
  • Complete and mail out regret letters
  • Coordinate candidate interviews, drug screens, physicals, and testing
  • Complete and mail out offer letters
  • Manage Client Satisfaction
  • Maintain a satisfied level of customer service with clients both internal and external.
  • Properly handle client requests through responsiveness, follow-up, and escalation.
  • Communicate your availability through voice mail greetings and email out-of-office assistant.

Teamwork

  • Work proactively with other team members.
  • Prioritize activities for the best interest of the team when working on joint projects.
  • Handle client requests and deliver quality solutions if able, or escalate the request to a more senior team member
  • Openly share new ideas and information with other team members.
  • Keep other team members apprised to avoid surprises and disappointed clients.
  • Manage and Accurately Report Time and Expenses.
  • Submits accurate and timely time reports for expenses and billable hours.

  • High School Degree
  • Currently college Junior/Senior level pursuing Bachelor’s degree in Human Resources, Organizational Development or related field.
